Making a Booking and its acceptance

Booking

When making group bookings it is advised that one principal client takes charge of liaising with Deluxe Irish Golf and shall be referred to us “the lead contact”, this individual will liaise and discuss all aspects of the vacation that they wish Deluxe Irish Golf to organise, either by email correspondence, phone call etc.  Deluxe Irish Golf will recommend preferred courses, hotels, travel arrangements and any excursions that they see most suitable for each group of clients. The “lead contact” will continue correspondence until such a time an itinerary has been agreed upon at which time Deluxe Irish Golf will supply a pricing structure.

Please note “lead contact” will be responsible for all payments and must be over 18 years of age at time of booking.

  • Making a Booking. You may make a booking enquiry via website form, email or phone.  Thereafter a first draft itinerary will be presented to you with a quote.  When your requirements are finalised, we will provide you with a formal quote. If you accept the quote and proceed to intimate your wish to confirm a Booking, we will ask you to pay a deposit.  Upon receipt of the deposit, we will send you a booking confirmation (“Booking Confirmation”).  Our acceptance of your Booking takes place when we send an email with your Booking Confirmation.  We advise that you book any required flights to correlate with your party’s arrival and departure of the Booking before making the deposit payment.
  • Correcting input errors. Our Booking process allows you to check and amend any errors before submitting to us. Please check the Booking carefully before confirming it. You are responsible for ensuring that your submission of a Booking enquiry or Booking information is complete and accurate.
  • We offer bespoke packages, subsequent amendments after the final booking has been made may be subject to further charges. This includes changes to the “price per person” should the group number fall below the original number of people quoted for. Bookings are non- refundable.

PAYMENT
(a) The costs and charges outlined in our proposal remain valid for a maximum period of 14 days. Should your programme remain unfinalized within that period, the costs and charges may vary. The price is as specified in the current proposal based on dates and number of guests stated.

Where to find the price for your tour. The price of your tour will be the price stated in your tour itinerary and invoice confirmed in the acceptance of your booking.  We take all reasonable care to ensure that the price of your tour advised to you is correct. However please see clause 10.3 for what happens if we discover an error in the price of your tour.

When and how you must pay. We accept payment by electronic funds transfer (preferred) or via Visa/ Mastercard (in relation to which we reserve the right to add a charge of 3.0%).  Unless we have indicated otherwise in your itinerary, which case payment will be due on the date specified on your invoice, payment for your tour is due as follows:-

(a)            a deposit of 50% is payable immediately upon us issuing your booking confirmation;

(b)            the balance of 50% is payable on the date 90 days prior to your tour start date; and

(c)            for tours booked less than 90 days prior to the tour start date, 100% of the price is payable immediately upon us issuing your booking confirmation.

Once a programme is finalised and an advance payment has been received, it may not be possible to make any changes to the programme. Any significant or material changes may result in additional costs, charges and fees. Any such additional amounts will be notified to you by By Appointment DMC.

Payment Currency:

We are based in Northern Ireland and accept payments from countries throughout the world so prices and payments are in our local currency Pound Sterling.

All prices quoted by Deluxe Irish Golf are per person and based on twin/double occupancy. Single rooms are available at all hotels however they often carry a supplement. You should be aware that hotels often insist on a ratio of twin/double rooms to single rooms and is determined on an individual basis.

If a high percentage of single rooms are requested, the twin/double room rate may be applied in order to fulfil your request and no discount will be applied to rooms that do not have the full occupancy.

Invoice

The Company will send confirmation when appropriate deposits have been paid. If the booking is within 90 days of arrival date, full payment is due.

All outstanding amounts must be paid in accordance with the payment plan, and final payment must be made a minimum of 90 days before arrival date as specified in the accepted itinerary.

A binding contract between us comes into existence when we dispatch our confirmation invoice to the party leader or your travel tour. We both agree that Northern Irish law (and no other) will apply to your contract and to any dispute, claim or other matter of any description which arises between us (“claim”) except as set out below. We both also agree that any claim must be dealt with by the courts of Northern Ireland only unless, in the case of court proceedings, you live in Scotland or England and Wales. In this case, proceedings must either be brought in the courts of your home country or those of Northern Ireland. If proceedings are brought in Scotland or England and Wales, you may choose to have your contract and any claim governed by the law of Scotland/England and Wales as applicable (but if you do not so choose, Northern Irish law will apply).

4. Changes by The Customer

The effective date of change is the date that the Company is advised. If you decide to alter any details after your booking has been accepted by the Company, providing we are informed not later than 6 weeks prior to arrival these will be treated as a change and £20 administration fee per booking will be charged in addition to the incremental costs of the modification, if the modifications can be accommodated. However, any changes to a passenger name originally shown in the booking or any alteration requested within 6 weeks of arrival may be treated as a cancellation.

 Your rights to cancel

Cancelling your booking with us.  You may cancel your booking with us at any time prior to the start date of your trip by letting us know that you wish to do so in writing.  If you cancel your booking, the following termination fees will apply:-

(a)           Where cancellation is more than 90 days prior to tour start date, a fee equivalent to the deposit;

(b)           Where cancellation is less than 90 days prior to the tour start date, 100% of the total tour cost.

You acknowledge and agree that the foregoing charges arising on termination are an appropriate and justifiable termination fee, reflecting the limited availability and specialist nature of the travel arrangements being provided.

8.2       Ending the contract because of something we have done or are going to do. If you are ending a contract for a reason set out at (a) to (c) below the contract will end immediately and we will refund you the price of your tour (less any third party costs incurred by us up to that date in arranging and booking your tour) for any failure by us to provide the services covered by the contract. The reasons are:

(a)           we have told you about a change to your tour which you do not agree to (see clause 6.2);

(b)           you have a legal right to end the contract because we have materially breached our obligations under the contract.

8.3       How we will refund you.  We will refund any sums due to you as soon as possible following cancellation by the method you used for payment. However, we may make deductions from the amount refunded, as provided for above.

9. Force Majeure

The Company accepts no responsibility for and shall not be liable in respect of loss or damage or changes caused by force majeure health risks or events such as strikes, riots, political unrest, war hostilities, or threat of war, Government restraints, terrorist activity, industrial disputes, fire, flood, weather problems or similar events beyond its control.

The Company accepts no responsibility for expense to personal property due to act or default of any hotel, carrier or any other company or person providing or rendering of the Itinerary.

Website Description

Every effort has been made to ensure the accuracy of descriptions and information. However, we are not always able to control all components of the holiday arrangements and it is possible that an advertised facility may be withdrawn or changed. due to weather conditions, lack of demand or for maintenance, renovations etc. We will advise you if we become aware of a major change.

11. Travel Insurance

We strongly recommend any persons wishing to travel, to arrange Travel Insurance independently. Travel insurance should be purchased in the country of your main residence and many companies can be found through an internet search. For those travelling from the United States, there is the US Travel Insurance Association which lists numerous member companies www.ustia.org


Your Travel Insurance should cover the whole time you are away and we suggest should include a minimum of the following:

CANCELLATION OR CURTAILMENT COVER: A number of situations may cause you to call off your trip or cut it short. This may be for a number of reasons including the following:

  • Traffic accident prior to trip
  • Required to work, terminated, or transferred
  • An epidemic or pandemic disease
  • Terrorism or mandatory evacuation at destination
  • Injury or illness of insured, travel companion, family member, or business partner
  • Hurricane or natural disaster strikes destination
  • Home or business damaged, vandalised, or burglarised
  • Jury duty or military redeployment
  • Victim of felonious assault prior to trip
  • Theft of passport or visa prior to trip

LUGGAGE: Reimbursement for lost, stolen or damaged luggage and belongings throughout your trip along with travel assistance to replace lost or stolen prescriptions, passports, visas or other important travel documents.

DELAYS: Coverage for trip delay and baggage delay, providing reimbursement for unplanned hotel expenses, meals, clothing and transportation costs.

IMPORTANT: Always ensure that your policy refunds the full cost of your holiday and that your policy includes ‘Cancel-For-Any-Reason’ cover. It must pay out if you need to cancel or cut short a trip. Your policy should also cover any prepaid expenses such as excursions, golf, dinners. Also, it is common practice for insurance providers to only accept applications within a few days of making a reservation and paying the deposit for a schedule. It is therefore recommended that insurance should be taken early in the booking process.

Accommodation

Please note one member from each room at your accommodation may or will be required to leave their credit/debit card details with reception for the duration of your stay. This is to cover any extras that may be purchased ie; bar snacks, drinks etc and in the unlikely event of any loss or damage to the property, Deluxe Irish Golf will not be held liable in any such event.

Behaviour

It is important that you and your group party behave responsibly and with consideration for others during your holiday. It is up to the discretion of the Hotels and Golf Courses how they may deal with any individual that contravenes acceptable /good behaviour. Deluxe Irish Golf will not accept any claims from a client/customer of ours if they are refused golfing rights or be denied accommodation due to non compliance of golf club/Hotel  rules/behaviour.

If You Have a Complaint

Should you have any complaint you are urged to discuss it at the time with the airline, hotel, course or car rental company. If your complaint is not resolved please notify Deluxe Irish Golf  as soon as possible,we will then do our utmost to resolve the problem. 

Dress Code & Handicap requirements
Many golf courses/clubs require proof of a maximum handicap and/or  proper golf attire such as collared shirts, shorts of a certain length (no denim or studs etc), colour/length of socks, shoes in the clubhouse etc. We cannot accept any responsibility in any ruling by the hotel/golf course if you or any of your group is unable to play due to inappropriate attire or failure to provide proof of a required handicap. Please check before you travel that your group is aware of appropriate attire and handicap requirements. Deluxe Irish Golf will supply the lead group member with any particular formalities required for the courses that are on their booking.

Standard of Play – Golf Etiquette
Knowledge of golf etiquette and the rules of golf are expected by all members of your group. Some golf courses will require handicap certificates before accepting visitors, which Deluxe Irish Golf will advise you at the time of booking. It is however your obligation to ask and check before approving your booking whether or not handicap certificates are required and, if so, to ensure that each member of your group can satisfy the relevant requirements and bring appropriate proof with him/her.

Gratuities:

Gratuities for personal services and to Driver-Guides are not included in tour cost

Where possible, goodwill will be exercised by Deluxe Irish Golf Tours and exceptions to the above policy will be dealt with on a case-by-case basis. We will also, where possible, be happy to reschedule tour dates should issues arise.
